ALL Graduate Courses & Undergraduate CROSS-LISTED, RENUMBERING, change in UNITS or ACTIVITIES.
A course preparer can help faculty meet department approval deadlines and answer policy questions in preparation for a course to be entered into CRS. Find a Course Preparer here.
Faculty are encouraged to use CRS worksheets to help communicate complete information to the preparer. These are quick, fillable PDFs that allow required information to be captured accurately.

Courses and programs could be impacted by changes to a course. Course Preparers submit a report request to identify these potential impacts.
Faculty must work with their Department Course Preparer to meet internal department deadlines to receive departmental approval and finalize courses for the CRS submission deadline (Step 3).
Timelines for the course approval process are impacted by the timing of scheduling/registration, campus closures and the summer months when Senate does not meet.

Course Preparers are trained by the Office of the Registrar staff to ensure CRS submissions meet the course proposal requirements.
Any delays in this process could impact the timeline for course instruction, so working with a Course Preparer is critical to getting a course through the approval process in time.

*A NOTE ON STEP 4: EXECUTIVE COMMITTEE REVIEWS
All courses must go to the respective college or school Executive Committee: CHASS, CNAS, BCOE,, Business, Education, Public Policy. Graduate courses also go to the Graduate Council for approval before moving on to the Committee on Courses (Step 5). In order to make the Committee on Courses agenda in time for the start of the Academic Scheduling, any feedback on the course submission must be addressed as soon as possible. Failure to respond to feedback may result in losing priority during Academic Scheduling.
Review and Approve Proposals
All course proposals follow a specific approval route. When it's your turn to provide feedback, you will do so in CRS.

Prepare Successful Proposals
If your department has designated you its course proposal preparer, we can help you schedule training, explain the proposal process, show you what materials you need to get from faculty and give you confidence when entering the actual proposal in the Course Request System (CRS).
- Step 1. See an overview of how course proposals work.
- Step 2. Review users and definitions to understand the role each person plays in the process and to clarify unfamiliar terms.
- Step 3. Read the Style Guidelines, Course Management Guide and Forms. Reading these before you get started will help!
- Step 4. Most proposals require you to request reports showing how other courses and programs would be impacted. See if your proposal falls into this category and request reports through our online form.
- Step 5. Enter the proposal in CRS. Keep helpful forms and any faculty-provided worksheets handy as you work through the process.
- Step 6. After you submit the proposal, work with faculty and departmental staff to make adjustments to the proposal as needed (based on review/approver feedback in the comments section of CRS).
- Step 7. Log in and search for your proposal. All users must ensure that their proposal reaches the correct Committee on Courses meeting.

Course Proposal and Review
Faculty Initiate a Course Proposal
Follow these steps to find a preparer, review guidelines, complete forms and make the course proposal process as smooth as possible.
In the case where you have received an award for an online UCOP-ILTI course, please reach out to the Academic Engagement Team for support and assistance with online instruction and pedagogy.
- Step 1. Learn how course proposals work.
- Step 2. Get an overview of who does what.
- Step 3. Find a preparer (the person who will prepare your course proposal).
- Step 4. Print and fill in the appropriate forms completely. Your preparer is relying on you to provide accurate information so they can enter your proposal successfully:
- Step 5. Follow these guidelines to ensure proper formatting:
- Step 6. Give all completed forms to your preparer. You may enter your information directly into CRS or give your forms to the preparer.
- Step 7. Work with your preparer and departmental staff to resolve any course proposal issues by applicable deadlines.
- Step 8. All proposal tracking takes place in CRS, either by logging in and searching, or by going to your "Work in Progress" queue.

Faculty Committee Member Review
Follow these steps to review a proposed course.
- Step 1. Faculty has been assigned to a committee (College Executive Committee, Graduate Council Committee or Committee on Courses).
- Step 2. Log into CRS (this is where the My Queue information will be loaded).
- Step 3. Select the course you want to view by selecting the course number.
- Step 4. Review the course selected by following the instructions detailed in this document for faculty.
- Step 5. Search for a course, as detailed in this document for faculty.
