General Assignment Classroom Scheduling Guidelines
Reserving General Assignment Classrooms on 25Live
Faculty and staff are now able to view and reserve available General Assignment (GA) Classroom space on 25Live! This singular, comprehensive scheduling and space management system replaces the manual email process for requesting GA Classroom space.
This page outlines the operational policies, scheduling timelines, building profiles, and departmental responsibilities for events taking place within GA classrooms and designated shared campus spaces.
What can GA Classroom space be used for?
- Academic Events: Events that are requested by the Department Academic Schedulers that are supplemental to instruction, so have a direct relationship to an instructional course and/or an academic program (study sessions, mid-terms, dissertation defense, etc.).
- Non-Academic Events: Events that are requested by the campus community and external clients and have no direct relationship to an instructional course (orientations, recruitment, etc).
- Large/Major Organized Events: Events expected to have 300 or more attendees. Policies related to these events are located here and are exempt from policies listed on this page.
When is GA Classroom space available for use?
- Instructional Periods: From the start of instruction to the end of finals.
- Non-Instructional Periods: The weekdays between the end of finals and the start of instruction for the next quarter. This excludes University holiday and curtailment days when the campus is officially closed.
General assignment classrooms are reservable from 7:00 a.m. to 10:00 p.m. Monday through Friday during these periods, as well as on weekends with limited access during final exams week. For policy rules, see Weekend GA Classroom Guidelines.

Instructional Priority: Standard academic courses always receive priority. Room assignments for GA Classroom events cannot be finalized until after the second week of instruction.
No food or beverages are allowed in GA space. The event host is responsible for ensuring any tables and chairs moved during the event are restored to the standard set up for the room.
Strict Space Exemptions – The following are strictly exempt from event scheduling:
- Dundee (DUNDE)
- North District (NORD)
- School of Medicine (I and II)
- School of Business Building (SBB)

Academic Weekday Events
Academic events on weekdays can be scheduled at any available day, time, and room during the term. Department Academic Schedulers are to submit room requests directly in 25Live.
Note: Requests relating to a student's milestone (e.g., a dissertation defense) must be submitted by a scheduler; students may not submit these directly.

Non-Academic Weekday Events
Approved student organizations are permitted to use GA Classroom spaces on weekday evenings starting at 6:00 p.m., subject to availability.
Requests must be submitted online through HUB Scheduling.
Note: Because these are within standard building access hours, no special facilities or access requests are required.
Weekend GA Classroom Guidelines
Weekend event scheduling is restricted to a selection of approved buildings. Buildings featuring lab research facilities are completed excluded from weekend event use. If the primary weekend venues listed below are fully booked, alternative classrooms may be considered by the Scheduling Team.
All weekend events are required to submit a facilities work order. In addition to the room request in 25Live, event host must submit a work order through the Facilities work order system in FAMIS 360.

Facilities Services: Charges & Services
A work order must be submitted to cover potential needs for access control and custodial charges. Final assessments are reviewed by Facilities Services based on the specific scope of the event and the condition of the space post-event.
Any weekend event should be submitting a work order. Additionally, large events on weekdays will also require a work order ticket. Click here to submit a work order.

- A valid Chart of Accounts (COA) number

Available Recharge Services
Available Recharge Services:
- Custodial Services: Covers restroom support, pre-event setup, post-event cleaning, and supply refills. Billed hourly with a strict 4-hour minimum charge regardless of the length of the event.
- Access Control: Handles custom programming for weekend or after-hours door locking and unlocking.
- Resource Management (RM): Equipment rental delivery and setup (including tables, chairs, podiums, canopies, staging, and fencing).
- Landscape/Grounds: Trash receptacle delivery/pickup, approved tree trimming, and irrigation scheduling adjustments.
- Building Mechanical (HVAC): Adjustments to building climate control and air conditioning systems for after-hours or weekend timelines.
- Carpentry Shop: Installation of ADA-compliant ramps or custom stage layouts.
- Electricians: Distribution of campus or shore power, with optional on-site support available.
