Brand new, first time access

1. "Procedure 400-35"

Start by filling out the Logon ID Request/Computer Security and Use Agreement and the Request for Access to Systems of the Procedure 400-35 , Section 2 which are available in the official UCR Policies and Procedures Manual. These forms are fairly simple; the "Logon ID Request/Computer Security and Use Agreement" requests Logon Identification and the "Request for Access to Systems" requests the names of the IBM systems for which access is desired. Put down "SIS" for the desired system. Have the form signed by the person in your department authorized to delegate systems access and who has a (Signature Authorization/Delegation, section 2, Exhibit A) form on file in the Institutional Computing Department. The person is usually the department chair, director or MSO. If you are not sure who in your department is authorized; please contact Greg Sanders in Institutional Computing at ext. 5914. Do not fill in the "Login-ID" on "Request for Access to Systems." The Login-ID is determined by Computing Staff.

 

Now send the form to Greg Sanders in Institutional Computing. Greg will review the request, then grant access to the IBM mainframe itself. Access to the IBM mainframe does not mean access has been granted to SIS/IA. There are many more steps to be taken!

 

Once he has granted access, Greg Sanders will return a copy of the "Request for Access to Systems" to the authorized department head (as previously indicated on the form). The form will now have a login ID listed. After receipt of the newly issued Logon-ID, proceed to the next instruction on this page.

This process takes approximately five working days.

2. "Request for IA-Plus Access"

Fill in the name of the new user, their logon-ID (also known as User-ID), from the form Greg returned, and the type of access they will need on the "Request for Access to IA-Plus" form (see link below). Please be as specific as possible when filling out the form as to what the user will be doing with their access. This helps assure they get the right access—not too many screens, not too few.

 

Put down an email address where you would like notification sent once access to SIS/IA has been granted. The person who should be notified is probably the person who started the process of requesting access, not the new user.

 

Once filled out, press the 'Submit Request' key, at the bottom of the form, and the request will be sent via e-mail to Teri Eckman the Enrollment Management Systems Director. Teri will review and process the request. She may call the requesting department to discuss the needs of the new user.

3. There's More!

After Teri has reviewed the request and assigned access, she will forward the request to the Institutional Computing Department for final programming. Steps 2 and 3 take approximately five working days after receipt of the "Request for Access to IA-Plus" form to be processed.

4. Notification and Training

Once Institutional Computing has programmed the requested access, an email notification is sent to the person listed on the "Request for Access to IA-Plus" form. The new user should contact Teri Eckman x25791 to discuss privacy issues and training.

5. This takes forever!

It does take a while; no we can't rush requests. If you know a new staff person will be starting out working in your office, it's a good idea to have them fill out their computer paperwork early — they can do this before their official start date. That way, access should be available about the time they begin work.

Modifications to existing Access

1.   Complete the online "Request for Access to IA-Plus" form. Fill it out as completely as possible, explaining why a cange in access is needed and how it will be used. Expect your request to follow the processes described above in steps 2, 3, and 4 for Brand New Access.  

Transferring Departments

If you have transferred, or are in the process of transferring, your employment from one UCR department to another UCR department a CANCELLATION REQUEST must be processed by the department you are leaving. The department you are transferring to can then request a new user login ID and access to SIS Plus per their requirements. You are not allowed to have two user ID's at the same time. If procedures are not followed in a timely manner, you may find yourself temporarily without any access.

Following cancellation by your old department you can expect your new SIS Plus Access to follow the processes described above in the steps for Brand New Access .

Haven't accessed SIS/IA in over three months

1.    Your access has been revoked. You must follow all the steps outlined for Brand New Access above.
